Storage of documents in cardboard boxes
Storing documents is an extremely important and often a difficult activity. One or two binders are usually enough for these home-made ones. However, when we run a business, the number of documents grows alarmingly fast.
Let us also remember that just having them is not enough – they have to be properly arranged so that they are easy to find, and also keep their neatness and legibility for the next few years. After all, you never know when they will be needed.
That is why every company must have a good and efficient document segregation and storage system.
How to store documents?
One of the most popular and effective methods are cardboard boxes. The manufacturer’s offer includes archiving boxes that are adapted to A4 documents or binders. Since they are designed with archiving in mind, searching through documents is extremely simple and easy.
Of course, we can also use ordinary boxes with a flap for this purpose. However, their primary purpose is for transport, so they are not an ideal solution. We have to tape them over and it’s hard to see their contents. It is best to leave them for documentation that we rarely look at or one that will go to waste paper and we just need to pack it in something.
How to pack documents?
Documents cannot simply be thrown into boxes and taken to another room. If the system is to work, they must be properly segregated. Binders or paper clips are best for this as they can hold a specific type of document or a date range together.
What we use depends only on ourselves. Both solutions fit into cardboard boxes and work well in many companies. It is also good to sign these boxes, thanks to which we will shorten the time of searching later.
How to store boxes with documents?
Keep the documentation secured with boxes in a dry and clean place. Away from the source of moisture, water or fire. It should also not be kept in direct sunlight.
Cardboard is a thicker and more durable type of paper – in inappropriate conditions it does not provide protection for documents, and is destroyed together with its contents.
However, the undoubted advantage of cardboard boxes is their eco-friendliness and low price. Unlike plastic packaging, we can be sure that we do not litter the environment. We can also return documents together with cardboard boxes for waste paper, because they are a recycling product.
